Job Description for St. Mary in the Mountains
HOURS Hourly wage paid, 20 hours per week
POSITION The Parish Office Manager is responsible for the day-to-day operations of the Parish Office.
This position includes management of financial data and administration. The Office Manager
reports directly to the Pastor but works closely with the Parochial Vicar and other staff
members and volunteers.
• Skilled use of Microsoft Office 365 Business Applications, including Publisher, Word, Excel, Outlook, and the Microsoft 365 Admin Portal.
• Ability to organize and prioritize work and manage time with flexibility.
• Ability to communicate effectively in writing, in person and on the phone. Good interpersonal skills and
the ability to work individually as well as part of a team.
• Basic bookkeeping skills and the ability to reconcile financial statements and create reports. Experience in payroll and non-profit tax exemption.
• General knowledge and practice of the Christian faith and acceptance of Catholic teaching and
• Social media marketing and basic graphic design skills.
• Basic understanding of computer networking and troubleshooting.
• Familiarity with common office equipment such as phone, softphone, and copier.
• Church bookkeeping
• Process payroll and creating and maintaining office staffing records
• Email and mail correspondence
• Receive visitors and phone calls, and manage voicemail
• Accounts Payable and donation processing (in-person, mailed, and online)
• Bulletin preparation
• Maintain Church and Mass Intention Calendar
• Filing, historical records and document retention
• Safe Environment compliance
• Petty cash management
• Requisition of Church and office supplies
• Make Church bank deposit
• Parish Councils meeting Minutes and preparation of reports
• Formatting and editing Quarterly Newsletter
• Maintaining bulk mail Account and processing postage and delivery of Newsletters
• Managing Sacramental requests and follow-up, documentation prep, final processing and calendar
• Attending CSA training, assisting in implementation, processing and maintaining pledge and payment
• Maintain donor database and accurate donation records
